The Internal Revenue Service needs a way to have employers report the amount of wages paid to each employee over the year. So they have made it a requirement that the employer will file several forms on a quarterly basis that should match the amount of wages reported on the W2 form that is filed annually.

W2 Form Tips for Employers

It is important to take several precautions before a business files or submits their employees W2 from with the government. Essential to understand is that the W2 form is actually a culmination of a process of wage reporting for the entire year. So if a business is just starting to think about W2 form filing before the January filing deadline they are mking a big mistake. The truth is the process should have begun even before the employee began to work a single hour. There is a vetting process that ana employer is required to do to make sure that the person being hired even has the rights to be employed in the United States of America. Immigration forms and a form W-4 must be completed and reviewed by te employer to make sure they are correct. Even counting the number of digits in an employees form W4 and I-9 is not a silly idea.

W2 Form and the W4 Form

The good thing about having completed the requisite forms when hiring an employee is that it will make W2 form filing easier. That is because the basis of a W2 form is the same information found on the form W4 that the employee completed. Of course a completed W4 from is just the beginning of the W2 form process. All quaterly payroll form 941 must be complete and the total of wages must match particular boxes on the W2 and on the W3 Transmittal form. One should also not forget to consider the Form 940 that should integrate with the other form we have discussed.
